How to use

1. Fill Your business name, Contractor license # (optional), Client name and Project / site address - all print on the invoice header.
2. Add labor rows in the LABOR section: Description, Hours and Rate ($) - each row totals hours x rate automatically.
3. Add material rows in the MATERIALS section: Item, Qty and Unit cost ($).
4. Choose Tax applies to (materials only, labor + materials, or no tax) and enter the Tax % for your state's rules.
5. Set Payment terms (Due on receipt or Net 7/15/30) and Deposit already collected (%) - the tool prints the due date and the balance after your deposit.
6. Press Build invoice, check Balance due, then print with the button or Ctrl+P -> Save as PDF.

About this tool

Contractors bill differently from shops: the money is part labor, part materials, often on a client's job site, frequently with a deposit already collected. This template is built for that shape - labor lines (description, hours, rate) and material lines (item, quantity, unit cost) are totaled separately, the Project / site address and optional Contractor license # print on the header, and Net 7/15/30 terms or Due on receipt set the due date automatically. A deposit percentage is subtracted so the invoice shows the balance actually owed. It creates an invoice layout from your data - nothing is stored or sent anywhere.

Sales tax on construction work is genuinely state-specific: some states tax materials but not labor, some tax both, some tax neither, and rules shift by job type. Rather than guess, the Tax applies to selector lets you choose materials only, labor + materials, or no tax, and applies exactly the percentage you enter - the tool does the multiplication, you make the tax call, and the invoice shows which base was taxed. Check your state revenue department or your accountant when unsure. The layout prints clean on Letter or A4, and Ctrl+P -> Save as PDF gives your client a crisp file.

The deposit line answers the most common workflow question in contracting: you collected 30% up front, so the customer owes the remainder, not the full total. Enter Deposit already collected (%) and the invoice lists the deposit amount and the balance due after it. If you bill in stages instead, leave the deposit at 0% and simply issue one invoice per stage with that stage's line items - progress billing is just sequenced invoices. Number invoices sequentially (INV-001, INV-002), keep dates consistent, and attach photos or a scope note when a client's accounts-payable team needs backup.
